礼貌和合作原则是现代语言学中重要的会话理论, 它不仅充分体现在会话中, 在书面语篇中也被广泛实施 (秦晓杰, 2001) 。由于电子邮件的往来与面对面的会话交流同样具有真实地、有目的的表情达意的功能, 因此, 指导会话交流的合作与礼貌原则对这种基于商务电子邮件的书面交际同样适用, 在国际商务活动中, 如果英语电子邮件的写作者不了解必要的合作与礼貌策略以及相应的语言表征方式, 会有引起语用失误, 进而破坏双方友好合作关系的危险。
一、电子邮件中的合作原则
美国哲学家Grice (1975) 认为在日常交际中人们总是在遵守着一套相互合作的基本原则, 旨在有效地使用语言以达到交际目的。他在20世纪70年代提出了会话的合作原则 (Cooperation Principle) , 其中包括了数量准则、质量准则、方式准则和相关准则等四条基本准则。合作原则要求所提供的信息数量适中、真实可靠、清楚简洁、紧扣主题。遵守了这些准则, 交流者就能以最直接的方式和最合适的语言进行交际, 达到最佳交际效果。就商务电子邮件而言, 由于收信的一方在读信时, 寄信的一方不在场, 无法像在打电话或面谈时根据对方的反应做出及时的调整, 因此, 电子邮件往来中双方如何表现出“合作”的诚意, 要比在电话交谈或当面会谈中双方如何彼此表示友好更加重要。如:
例1:Thank you for your letter of 12th, July sending us patterns of cotton prints.We find both quality and prices satisfactory and are pleased to give you an order for the following items on the understanding that they will be supplied from current stock at the prices named:

以上两封信所围绕的是初次定单, 均遵循了合作原则中的相关准则, 内容安排也十分有序, 例1段落安排顺序是: (1) 告知收悉信函并向对方表示感谢; (2) 关于初次定单列出关于产品的具体信息; (3) 告知支付方式; (4) 询问销售确认书。例2是例1的回复, 及时回复本身就表明了‘合作’意向。按国际惯例, 收到邮件者须尽早回复, 最迟不能超过四十八小时。即使收件人无法立刻做出答复, 也须先回电告知对方已收到邮件, 并将尽快给予回复。例2的段落安排顺序为: (1) 告知收悉信函表示欢迎; (2) 告诉自己的支付方式, 承诺确认供应对方所列价格的产品, 并安排装运; (3) 随函附上目录以求更广泛的商业合作。从这两个例证中可以看出, 一封能达到良好沟通目的电子邮件, 必须遵守合作原则中的包括数量、质量、方式、相关等准则。
二、电子邮件中的礼貌原则
尽管合作原则概括了人类交际的本质特点, 但语用学领域的进一步研究发现, 人们在交际过程中并不总是遵循合作原则, 常常会故意违反某一准则, 但这一定是为了传递一些符合合作原则的信息, 使用间接婉转的方式表达一些含蓄的意思 (何兆熊, 2000) , 看以下一例:
A:We’ll all miss Bill and Agatha, won’t we?
B:Well, we’ll all miss Bill。
例句中, 根据合作原则, B违反了量的准则, 只说Bill, 而不提Agatha, B这样做显然是有意的。由于某种原因他可能并不喜欢Agatha, 但碍于情面, 不便直说, 使得他违反合作原则。为了解释这一现象, 20世纪80年代英国语言学家Leech在Grice“合作原则”的基础上, 从修辞学、语体学的角度出发, 提出了著名的“礼貌原则” (Politeness Principle) , 其中包括得体、慷慨、赞誉、谦逊、一致和同情等六类, 每类包括一条准则和两条次准则, 这些准则及次准则的核心内容为:尽量使自己吃亏, 而使别人获利, 以取得对方的好感, 从而使交际顺利进行, 并使自己从中获得更大的利益。
当然, 人们并非在任何时候、任何地方、对任何人交际都要遵守礼貌原则的, 例如, 在紧急或意外事件中、在激烈的争辩或紧张工作的场合、或者在十分亲密友好的朋友间不拘礼节的谈话中, 礼貌原则可能会让位于话语的内容, 屈居次要地位。另外, 适度的客套是礼貌, 而超度的客套就是卑恭, 超过了客套度的界限, 就会给人虚假做作、卑微低下的感觉。例如:We beg to acknowledge receipt of your letter dated 11th December. (我们恳求收到你的12月11日的函。句中“beg"使用不当, 过于明显地贬低自己) 。因此, 我们必须区分“礼貌”和“卑恭”, 不要盛气凌人, 也没必要低三下四, 把握好礼貌原则的度。
商务电子邮件作为一种书面语真实交际手段, 一方面具有普通电子邮件的特点, 另一方面又有商务函件的特点, 与传统商务信函一样, 其交际双方同样会遵循以上准则。但是对商务电子邮件与传统商务信函所使用的不同礼貌策略进行比较分析发现, 两者对礼貌的重视程度虽然总体上没有显著差异, 但侧重点有所不同。商务电子邮件更注重维护对方的积极面子, 即希望得到别人的赞许, 支持和喜爱的想法, 重视保持友好合作关系, 倾向于采用“以接近为基础”的积极礼貌策略。而传统商务信函则更客观正式, 注重维护对方的消极面子, 即不希望别人强加于自己, 自己不因迁就别人而受到别人的干涉、阻碍而使自己丢失面子的想法, 倾向于采用“以回避为基础”的消极礼貌策略。譬如, 同样是还盘, 传统商务信函表达方法如:“May I suggest that you could perhaps make some allowance on your quoted prices which would help to introduce your goods to my customers”, 多次使用疑问 (may I suggest) 与模糊限制语 (could, perhaps, would) 等消极礼貌策略。而商务电子邮件中的表达方法有所不同, 例如:“I met with my customer today on both of the bags.unfortunately the price is still not very competitive, thanks for your help”, 则是采取了假设共同点 (用了unfortunately, 表示写邮件人与对方的利益一致) 和关注对方 (thanks for your help) 等积极礼貌策略。
三、结语
商务电子邮件作为一种新兴的现代商务交流工具, 是收信和发信双方真实的互动交际的产物, 要求写信人遵守合作与礼貌原則。一方面, 写信人需遵守合作原則, 采用“合作”策略, 及时回复, 确保信息数量适中、真实可靠、清楚简洁, 并能紧扣主题。另一方面, 写信人还需考虑礼貌因素, 尊重收信人对“面子”的心理需求, 在把握好礼貌原则的度的前提下, 实施积极的礼貌策略。总之, 在撰写国际商务电子邮件时, 应遵循邮件信息明了、内容完整、准确无误、简明扼要、礼貌周到的原则。

It’s easy to assume that we know how to use email effectively: it’s been around for long enough. But if you find yourself struggling to communicate effectively by email, these six tips should help:

1. Start With an Appropriate Salutation

Some people jump straight into the text of an email without so much as a “hi”. It’s polite to add a salutation, just as you would with a letter. That might look like:

But don’t assume that formality is always the right answer. If you’re writing to a friend of a friend, using “Dear” plus their surname is going to seem oddly stilted.

If in doubt, “Dear [first name]” will usually work just fine.

Your correspondent won’t want to wade through paragraphs of waffle – so get straight to the point. If you’re writing to someone out of the blue, don’t give them your life story before you make a request.

You may well need to include more details, but if you put the important point up front, your email is more likely to get a timely response. If your question comes too far down, the recipient may not even realise that you need a reply.

3. Keep it Short

try to keep your email as short as possible. Make the paragraphs short, too – long paragraphs can be difficult to read and take in.

Do make sure you give enough information for your correspondent to be able to make a decision, if that’s required. You might find that it’s best to offer this as an attachment – you’ll have more flexibility over formatting, and your correspondent can print out the attachment easily.
