商务信函的基本结构
传统信件
这里我们介绍一种商务信函中最通用的格式-齐头式。主要特征就是每行均从左边顶格写,常常采用开放式的标点方式,即除了信文部分,其它部分在必要时才使用标点。信中各段落之间均空一行。
1、信头 The heading
信头就是指书信中发信人的地址和发信的日期等。
通常情况下,公司都会专门印制带有信头的信笺纸,包括发信人的姓名,地址,电话,传真等。当我们撰写传统信件时,直接使用这种信笺纸就可以。
2、编号(写信人的名字缩写)和日期 The sender name and the date
这部分内容是为了方便今后查询信件用的。
3、封内地址 The inside address
这里就是指收信人的姓名和地址,一般写在信笺的左上方。收信人名称地址的格式和信头的格式相同,但必须把收信人的姓名一并写出。另外,如果不是完全公事化的书信往来,或者已经从公事的关系渐渐发展成为带有私人性质的友好信件往来,由于称呼这一栏的内容已经说明了收信人的身份,所以可以不必填写封内地址。
4、事由 The subject heading

一、以亲切温和的语气开篇

三、婉转地表示拒绝
有些时候, 我们在商务信函中, 需要表达拒绝的意思, 当对方提出的要求我们不能接受或者意见不能达成一致的时候, 我们就要表示拒绝。如何礼貌地拒绝对方, 又能得到对方的宽容和理解, 就是我们在语言表达时应该考虑的问题。当我们表达拒绝的时候, 一定要传达出不得已或者已经尽到努力但却不可改变的意思, 这样往往容易得到对方的谅解, 言辞也比较委婉, 不容易激化矛盾。可以用这样的句子:“It is most regrettable that we have to inform you that (of) …”“It causes me much sorrow to have to say that…”表达不得已或者很遗憾的心情。

如果我们在信函中想要表达对对方的感激之情, 或者因为某些原因需要向对方致歉的时候, 一定要注意以真诚的态度来叙述, 要针对具体的问题, 诚恳地表达谢意或歉意。表达谢意是一种很好的传达礼貌的方式, 对他人的工作和努力表示谢意和赞赏, 会产生积极的作用。比如, 可以说:“Please accept our thanks in advance for your usual kind attention.”或者“We request you to accept our warmest thanks for the anticipated favour.”对对方的帮助表达诚挚的谢意。

随着全球经济一体化的飞速发展,我国的对外经济贸易往来日益频繁。商场犹如战场,如何在激战中转危为安,扩大市场,赢得胜利? 商务沟通技巧显得尤为重要。其中,商务英语写作中的礼貌原则构成了商务沟通技巧中的原则基调,是商家最主要、最锐利的武器之一。礼貌的商务英语信函彬彬有礼, 谈吐得体脱俗,它重视对方的观点,尊重对方的权利、愿望和需要,迎合对方的心理,能产生令人愉快的感觉, 在对方的心目中树立起一种正直、热情、有良好文化修养和职业道德的形象,从而带来无限的商机,促成和扩大对外贸易。本文就语用学中的礼貌原则理论在商业英语书信中的运用加以论述。
一、 礼貌及礼貌原则
礼貌,英文是courtesy,其英文解释为:courteous behavior, good manners; courteous remark or act(客气话,礼貌的举止)(《牛筋英汉双解词典》);a polite of kind action or expression (《朗文英语词典》);gracious politeness; a polite, helpful, or considerate act or remark; an act or usage intended to manor of compliment (《韦氏世界英语词典》)。从英文词义结实中可以看出,在写英文书信时,要想做到courtesy,其用语应该是一种“a polite way, helpful way ,a kind expression”。
英国语言学家Geoffrey Leech 等人提出礼貌原则(politeness principle),认为在所有的语言交际中,说话人和听话人之间应尽量地表示礼貌(maximize the expression of polite beliefs) 和尽量减少不礼貌的表达方式(minimize the expression of impolite beliefs)。这一原则对商务英语写作具有特别重要的意义。
二、 莱可夫的的礼貌规则在商务英语写作中的体现
1.不要强求于人。说话人避免使听话人去做不情愿做的事情, 要么改变自己的谈话方式, 要采用征求对方意见或表示道歉的形式, 以免强人所难。
2.给对方留有余地。说话人希望劝说听话人做某事, 他会采取某种说话方式,以便让听话人有一定选择余地, 决定做还是不做,他的选择不一定满足说话人的愿望。
3.增进相互间的友情。增进交际双方的友谊或友情。它会使听话人产生好的感觉。
三、礼貌原则在商务英语写作中的运用
在莱可夫礼貌原则的指导下,商务写作中通常可采取一些写作策略技巧:
1.尊重性
指从对方的角度来考虑和看待问题。采取对方立场 ,从对方利益出发,使对方感到自己的重要性受到尊重。为此,我们可以采取如下方法和手段:
(1)使用第二人称(you, your),这样使交往更加真诚、有礼貌。试比较下列句子:
① You will be able to receive a full refund of deposit if you return the goods within a week.
您如果能在一星期内退货,就能得到全部定金退款。
We cannot refund your deposit unless you return the goods within a week.
除非你们在一星期内退货,否则我们不退还定金。
(此例中同样的内容用第一人称(We) 会使对方感到比较冷淡。)
② I think that you did a good job in selling our products.
You did a good job in selling our products in your area.
(此例中第一句虽合情合理,但没有完全采取对方立场。用“我认为”这种句型在一定程度上剥夺了对方的荣誉感,使人感到似乎不是你工作出色, 而是我给你这样一种赞许。第二句以对方为中心, 更能让人接受。)
(2)将命令式改为请求式:请求式能够避免居高自傲,体现双方的平等地位。我们常常用“ I wish. . . ”, “ I hope. . . ”,“ I think. . . ”,“ I’d like to. . . ”, “Please. . . ”等句型来提出要求或表达意愿,语气委婉,观点鲜明。例如:
① Would you please send us your catalogue together with detailed offer?
请寄样品目录并详细报价。
② We hope to enlarge our trade with your country and intend to grant you 3 % discount .
我们希望扩大与贵国的贸易,并准备给你方3%折扣。
2.确定性
尽量避免否定的表达方式, 从而减少贸易分歧的几率。肯定性的词语强调积极的方面,给人愉快的感觉,否定性的词语强调消极的方面,给人不愉快的暗示。直截了当地加以否定,对方也许会失去继续谈判的兴趣,甚至认为不给他面子,引起双方贸易关系的破裂。可使用方法如下:
(1)使用积极的词汇或词组,如pleasure, pleased,glad,appreciate等词。
如:We should appreciate it if you could advance shipment.
试比较:
Your complaint about the quality of the machine we supplied you is regrettable.
I’m sorry that the quality of the machine we supplied you is regrettable.
(本例中complaint 是消极词汇 而sorry是个积极词汇)
(2)用副词unfortunately, scarcely, hardly, really等来弱化否定语气
如:Unfortunately, we did not receive your order before the new prices were introduced.
很不幸,我们在实施新价格之前未能收到你方订单。
I am really sorry that our products can hardly satisfy your requirement.
对我方产品难以满足你方要求,甚感抱歉。
3.委婉性
指从语气角度来调整语言, 使整篇信件的语调和谐悦耳。我们可以采取如下方法和手段:
(1)情态动词的使用:情态动词的一般过去式表示现在或将来的时间,以使谈话的语气更为婉转,带有更多的商量口吻。例如在表示询问,请求或表达与对方不同的观点时,如果用“Can you. . . ?”“Will you. . . ?”“I want . . . ”“I wonder. . . ”。
如:Could you please quote price inclusive transportation and insurance, and inform me when deliver?
I wondered whether you could make delivery in the middle of June.
(2) 使用虚拟语气:提出建议或请求时,语气委婉含蓄,具有更多的磋商余地,这样更有利于在平等信任的基础上,达成贸易协议。
如:If the quantity were not so large, we could not give you such a high discounts.
如果不是因为这么大的订量,我们是不能给这么高的回扣的。
May we suggest that you make some allowance on your quoted prices so as to enable us to introduce your goods to our customers?
建议贵公司在报价上让一步,以便我们能将你方货物介绍给我方买主。
(3) 使用被动语态:在表示否定意思时,常采用被动语态。这样可以避免语气咄咄逼人,引起对方反感,不利于双方在融洽的气氛中建立贸易关系。
如:Shipment should be made before October,otherwise we are not able to catch the season.

5.中文商业商务信函的写作格式 篇五
如同一般信函,商业信文一般由开头、正文、结尾、署名、日期等5个部分组成。
(1)开头
开头写收信人或收信单位的称呼。称呼单独占行、顶格书写,称呼后用冒号。
(2)正文
信文的正文是书信的主要部分,叙述商业业务往来联系的实质问题,通常包括:①向收信人问候;
②写信的事由,例如何时收到对方的来信,表示谢意,对于来信中提到的问题答复等等;
③该信要进行的业务联系,如询问有关事宜,回答对方提出的问题,阐明自己的想法或看法,向对方提出要求等。如果既要向对方询问,又要回答对方的询问,则先答后问,以示尊重;
④提出进一步联系的希望、方式和要求。
(3)结尾
结尾往往用简单的一两句话,写明希望对方答复的要求。如“特此函达,即希函复。”同时写表示祝愿或致敬的话,如“此致敬礼”、“敬祝健康”等。祝语一般分为两行书写,“此致”、“敬祝”可紧随正文,也可和正文空开。“敬礼”、“健康”则转行顶格书写。
(4)署名
署名即写信人签名,通常写在结尾后另起一行(或空一、二行)的偏右下方位置。以单位名义发出的商业信函,署名时可写单位名称或单位内具体部门名称,也可同时署写信人的姓名。重要的商业信函,为郑重起见,也可加盖公章。

这是介绍商品性能的,很不具体。如在“短距离”内是多大的距离,是什么样的制动器,能制动什么样的`车,等等。最好介绍得具体,便于人们选购。该句可改为:

3、We wish to confirm our telegram dispatched yesterday.

在商业信中确认发出的电报,信件等的时间,最好具体说名X月X日,尽量避免使用yesterday(昨日),today(今日)一类笼统的词汇,所以上述这句话最好改为:

三、日期:Date

四、封内名称和地址:Inside Name & Address
